Activities

It’s in the module “Activities” that all your services offered are managed. Here you can create your activities and enter information about them. You can enter photos, videos, geolocation and set the availability, schedule, and prices.

Create an Activity:

To create an activity click on the “Add Activity” button.

Add languages:

  • Languages supported: The solution supports six languages for now: English, Portuguese, Spanish, French, Italian and Russian. The solution is by default in English. You can add other languages as one of the languages but you have to use English.

  • Switch between tabs of languages: the information you add in the fields in one of the languages does not update, does not automatically translate or copy the same information to the other selected language, so you have to fill in the fields in all languages, selecting the respective language tab.

Required fields:

Required fields are all those marked with the red “Required” button. Required fields are:

1. Name of the activity (in different languages)
2. Activity time zone
3. Category of activity
4. Geolocation of activity

Information to enter:

Details: a detailed summary of your activities.

Highlight: something that you want to highlight about an activity.

Program: the program and/or itinerary of the activity.

Health information: information and health warnings that you want to highlight.

Regulation: the rules and regulations of the activity.

Meals: whether or not they are included, and what meals are they.

Recommended equipment: equipment, clothing, and accessories with which your customers should be equipped.

Weather conditions: the weather conditions to which the activity may be subjected.

Rebookings: whether or not to accept rebookings and what conditions rebookings are subjected to.

Keywords: are keywords that will allow your customers to more easily find your activities when doing research in the search engines.

Internal Product Code: This code is internal and serves to distinguish the product internally.

VAT: field related to indirect consumption tax (eg in Portugal, VAT). To be displayed, you must select it in the channel settings. See HERE.

Bookings in Advance: this field creates a period of time before the activity during which clients will no longer be able to make bookings (even if the activity still has vacancies). If you want to allow Last Call Booking (even after the start of the activity) leave this field blank.

Time Zone: Select the time zone in which the activity will take place.

Category: refers to the activity category. Ex: Snorkeling, Stand Up Paddle, etc.

Price Options Labels:

The same activity can have several variations, that is, the same activity can have a full-day version such as a half-day version. Or have extra services that justify being separated by different labels of price options like “with lunch” and “without lunch.”

To set price options, select their field and enter the text with the name of each category. Do not forget to enter in the other languages, alternating in the respective tab at the top of the editor/creator of activities.

You can add/remove price option labels according to your needs.

Location:

The location of your activity will be georeferenced to allow customers to observe the location of the activity on a map. This can be configured in two ways:

  • Automatic Location: When you allow your browser to receive the coordinates of your location, they will be displayed on the map, however, you must move the cursor to confirm the correct reading and make the final confirmation (see below).
  • Manual Location: By zooming in and moving the map, you can select the GPS pin from it to center the pin and sharpen its position by dragging it to the desired position. It lacks the same final confirmation.

  • Final Confirmation:
  • Select “Update Location” when you are satisfied with the pin position. You will see a checkbox where you should select the one that best displays your location.

Adding Photos

  • Supported formats: You can upload photos to activities in JPEG format. Images must be at least 800×600 pixels in size.
  • Loading and cropping: To load an image, click on the “choose files” button to choose the image. Once selected, click the “upload” button to load the chosen image and then click “crop“. Cut out the image to format it and click the “done” button to finish. Caution: when loading an image it is always necessary to crop to add the image. In the end, click “upload” to load the image.

  • Highlight Image Selection: To highlight a photo click the “highlight” button. This will be the main image of the activity.

  • Add to Gallery: To add to the gallery activate the button so that it has the color “green” and the selected image will be visible on the Homepage of your site. Note: The last images added to the gallery will be the first to be displayed in the gallery.
  • Remove from Gallery: To remove an image from the gallery, turn off the button so it runs out of color, and the image will no longer be visible in the gallery on the Homepage.

  • Adding Alt Text to images: Alt Text is a set of keywords associated with images in order to improve your search engine positioning.

Adding Videos:

  • Uploading video: To upload a video, simply copy the URL of YouTube and put it in the field and then click the “add video” button to finish.

  • Highlight: to highlight a video click the “highlight” button. This will be the main video played.

  • View

The view option allows you to see how the activity on your site and/or iFrame is displayed. This will open on a separate tab in your browser.

  • Preview

It allows you to see all the information inserted in your activity, as well as the photos associated with it, in order to review the text/images.

  • Edit

You can edit the various fields, photos, videos, geolocation and other information of your activity at any time by editing activities. You can also define customizable booking fields to get the information you need for your bookings. Know more about the booking fields HERE.

  • Price Option

Each activity can display prices and control availability in an integrated way by creating price options for the activity.

Clicking on the calendar icon will take you to the price options calendar. Attention: Before you go ahead with creating price options, be sure to create the various price categories.

You can create unique activities, just as scheduled for a period (recurring)

  • Unique Price Options: These are activities that will only happen once, in this case, the price options don’t repeat themselves
  • Recurring activities: These are activities that take place over a defined period, repeating their schedule and availability up to 12 months from the date of creation of the price option.

Removing Price Options: You can remove pricing options in several ways:

  • Single removal: To remove a single price option, you can select the same through the calendar, or the price option calendar, and remove it.
  • Batch removal: To remove multiple price options, select the “remove price options” option in the activity manager. Set a time before the activity you want to remove and its date to begin, select until the date that you want to be covered by the removal and a time after the last scheduled activity of this activity.
  • Editing a price option: To edit a price option (only possible in individual price options), it must be through the price option calendar. Go to the price option calendar in the activity list, and select the date and price option you want to edit.

  • Price categories: You can create up to six categories. You can enter basic categories like adult, child, baby, and senior, or, customize for students, teachers, etc.
  • Preferred price selection: You can select from among your price categories the one that will have the reference price displayed in your activity.
  • How the price appears: The preferred price is displayed in the activities on your site. On the page for each activity, the solution displays the preferred price, based on the category you selected, as well as the price “from”, which refers to the lowest price in the preferred category of the month in question.
  • Switch between languages: Like the activity information, you have to enter the categories in the various languages, selecting the respective tab.
  • Adding and Removing Price Options: To add a price click the “add price option” button. To remove a price option, click the “Remove price option” button.

When you’re satisfied with the price categories you’ve created, you can create a price option.

You can create unique or recurring price options for your activities:

  • Unique price options: these are activities with a single realization, not repeating price options in a pre-programmed way, created at one time.
  • Recurring activities: these are activities that take place over a defined period, repeating their programming and availability up to 12 months after the date of creation of the initial price option.

Remove/Edit pricing options in the following ways:

  • Single removal: To remove a single price option, you can select it through the calendar, or the price option calendar, and remove it.
  • Batch removal: To remove multiple price options, select the “remove options” option in the activity manager. You must set an interval before the first price option and after the last price option of the activity so that these options are covered by the removal.
  • Editing a price option: To edit a price option (only possible in individual price options), it must be through the price option calendar. Go to the price option calendar in the activity list, and select the date and price option you want to edit.

You can add price options by entering the start date of the option, start and end time of the block and (if recurring) the end date in a period of up to 12 tables after the creation date.

 

Description of each of the respective fields:

  • Start Date: the date on which the activities are scheduled (date of the singular activity if it is non-recurring);
  • Star Time: start time of the activity, or the first activity if you create recurring activities;
  • Recurring: Select if you want to create a repeat of the activity’s price options over time. Selecting this field will open the fields for end date, end time, interval and periodicity;
  • End Date: date when the recurring activity is scheduled;
  • End Time: time of day when recurring activity scheduling ends;
  • Interval: interval between activities;
  • Frequency: Recurring activities can be programmed daily (every day of the chosen interval), weekly (where you can select the days of the week in which the activity repeats itself) and monthly (days of the month in which the activity repeats itself);
  • Duration:  time of execution of the activity. This can be from start time to end time (in this case without interval), or lower, all possibilities being created within the interval between start time and end time;
  • Total: The number of individual bookings you can receive in the system. This considers one unit of each price category created. It can be people (adult, child, etc.) as can be a unit (imagine that instead of people put vehicle x, y or z in the categories) – be careful to have this very explicit in the information about your activity if it is the case. The most practical is always places/availability;
  • Pricing: The field for entering the sales value that will appear in the various categories you created earlier. Put the prices in “XX.XX” format. If you notice that a category is missing, go back and create the category to include this in the creation of price options. If the category occupies a place, but has no admission cost, select the “free” box;
  • Category: Select the respective price option category you want;
  • Minimum Order: if you have a minimum number of people/bookings for acceptance of reservations, enter your criteria here.

  • Reviews

Click the icon to see the reviews of a particular activity.

  • How to get reviews: Reviews are only available when customers provide your rating. This is possible after the booking status associated with the activity has been changed from “confirmed” to “completed”, and an email with a link requesting a review of the activity is automatically sent to the client.   • Remove

Removing an activity makes it unavailable for sale, and deletes all data from it. Caution: all bookings associated with the deleted activity are kept on the calendar.
